Terms, Rules & Regulations

Please read these terms carefully before using Klever Learning services.

1. Session Policies

Scheduling: All tutoring sessions are scheduled through the Klever Learning platform. Students and parents can view their tutor's availability through the calendar and request bookings. Tutors must confirm all booking requests before a session is finalized.

Cancellation Policy: Sessions may be cancelled up to 24 hours in advance without penalty. Cancellations made less than 24 hours before a scheduled session will be marked as a late cancellation.

Late Cancellation Limit: Each student is allowed one late cancellation per billing cycle without penalty. Additional late cancellations within the same billing cycle may result in a fee equal to 50% of the session cost.

No-Shows: If a student does not appear for a scheduled session without prior notice, the session will be counted as used and will not be rescheduled. Repeated no-shows (three or more in a single billing cycle) may result in a review of the student's enrollment status.

Session Duration: Standard sessions are one hour in length unless otherwise arranged. Sessions may not be shortened by either party without prior agreement. If a tutor is late, the session will be extended by the equivalent time or rescheduled at no charge.

2. Tutor Responsibilities

Professionalism: Tutors are expected to maintain a professional, respectful, and encouraging demeanor during all interactions with students and parents. Tutors represent Klever Learning and should uphold our standards of excellence in every session.

Missed Sessions: If a tutor fails to attend a scheduled session, the session will be rescheduled at no cost to the student. If a tutor misses two or more sessions in a single month, the matter will be reviewed by management and may result in disciplinary action, including removal from the platform.

Session Reports: Tutors are required to complete a session sheet after each meeting, documenting topics covered, student performance, homework assigned, and plans for the next session. These reports are visible to parents and the Klever Learning administration.

Report Cards: Tutors are expected to submit formal report cards at the end of each term or upon request. Report cards include grades, attendance scores, participation ratings, strengths, areas for improvement, and goals for the next term.

3. Payment and Billing

Billing Cycle: Subscriptions are billed on a monthly recurring basis. Payment is due on or before the billing date shown in your dashboard. Klever Learning will send reminders via the platform and email as your billing date approaches.

Payment Methods: Payment arrangements are discussed during your consultation. Klever Learning offers flexible payment options to accommodate different family situations. Late payments may result in suspension of services until the balance is resolved.

Referral Discounts: Klever Learning offers referral discount codes on a case-by-case basis. Referral codes are one-time use and are generated by the Klever Learning team. Each code has a specific discount percentage and can only be applied once. Referral codes cannot be stacked, combined with other promotions, or transferred between families.

Price Changes: Klever Learning reserves the right to adjust pricing with at least 30 days written notice. Existing subscribers will be notified via email and through their dashboard. Price changes do not apply retroactively to the current billing cycle.

Charity Contribution: Every payment supports the Kids Education Fund. This is included in your subscription price and is not an additional charge. By using our services, you are contributing to education access for children in need.

Message Monitoring: All messages exchanged between tutors and students/parents on this platform may be reviewed by administrators for safety, quality assurance, and to ensure a positive and professional learning environment. By using the messaging feature, you acknowledge and consent to this monitoring. Message content is kept confidential and is only reviewed by authorized administrators.

4. Subscription Management

Cancellation: You may cancel your subscription at any time through your parent/guardian dashboard. Cancellation takes effect at the end of the current billing cycle. No prorated refunds are provided for partial months. You will continue to have access to scheduled sessions until the end of your paid period.

Pausing: If you need to temporarily pause your subscription (for vacations, holidays, or other reasons), please contact us through the inquiry form or message your coordinator. We accommodate reasonable pause requests on a case-by-case basis.

Plan Changes: You can upgrade or downgrade your plan by contacting us through the dashboard. Upgrades take effect immediately, and downgrades take effect at the start of the next billing cycle.

5. Code of Conduct

Respectful Environment: All users, including students, parents, and tutors, are expected to maintain a respectful and professional environment. Harassment, discrimination, bullying, or abusive behavior of any kind will not be tolerated and may result in immediate account termination without refund.

Communication: All communication between tutors and students should take place through the Klever Learning platform or during scheduled sessions. Personal contact information should not be exchanged without explicit parental consent. This policy exists to protect both students and tutors.

Academic Integrity: Klever Learning tutors are here to teach, guide, and support students in their learning journey. Tutors will not complete assignments, tests, or exams on behalf of students. Any request for academic dishonesty will be reported to the parent and may result in service termination.

Complaints: If you have a complaint about a tutor, session, or any aspect of our service, please submit it through the complaint form in your dashboard or contact us directly. All complaints are reviewed within 48 hours and handled with discretion and care.

6. Check-Ins and Progress Reviews

Quarterly Check-Ins: Klever Learning conducts check-ins every 3 months for every active student. These check-ins are designed to review progress, address any concerns, evaluate the tutor-student relationship, and adjust the learning plan if needed.

Automated Reminders: The platform sends automated alerts to the Klever Learning team and to parents when check-ins are due. Parents are encouraged to participate in check-in discussions to ensure alignment on learning goals.

Tutor Reassignment: If a check-in reveals that the current tutor-student pairing is not working effectively, Klever Learning will work with the family to find a better match at no additional cost.

7. Video Sessions and Technology

Platform: Video sessions are conducted through our integrated video conferencing tool. No downloads or separate account signups are required. Students simply click the "Join" button in their dashboard at the scheduled time.

Technical Requirements: A stable internet connection, a device with a camera and microphone (computer, tablet, or phone), and a modern web browser are required for video sessions. Klever Learning is not responsible for technical issues on the student's end but will make reasonable efforts to troubleshoot.

Recording: Sessions are not recorded by Klever Learning by default. Neither tutors nor students should record sessions without explicit written consent from all parties involved.

8. Privacy and Data

Data Collection: Klever Learning collects personal information solely for the purpose of providing tutoring services. This includes names, email addresses, phone numbers, grade levels, and learning preferences. We never sell personal data to third parties.

Data Access: Session data, progress reports, report cards, and communications are stored securely and accessible only to authorized users: the student, their parent/guardian, their assigned tutor, and Klever Learning administration.

Account Security: Users are responsible for maintaining the security of their account credentials. Klever Learning will never ask for your password via email or message. If you suspect unauthorized access to your account, contact us immediately through the inquiry form.

9. Liability

Service Guarantee: Klever Learning strives to provide the highest quality tutoring services. While we carefully vet all tutors and monitor session quality, we cannot guarantee specific academic outcomes. Learning is a collaborative process that depends on student engagement, practice, and consistency.

Limitation: Klever Learning is not liable for any indirect, incidental, or consequential damages arising from the use of our platform or services. Our total liability is limited to the amount paid by the user in the current billing cycle.

10. Modifications

Klever Learning reserves the right to update these terms at any time. Users will be notified of significant changes via email and through the platform. Continued use of the platform after changes are posted constitutes acceptance of the updated terms.
